Dr Youth Clinic (referred to as "Dr Youth Clinic", "we", "us", or "our" through this policy) operates skin and hair aesthetic clinics in Chennai, Bangalore, Kochi, and Coimbatore, along with the website you're currently on. This policy sets out what personal data we collect, how it's used, how long we hold onto it, and what rights you have over it – whether you're browsing our website, booking a consultation, or already a client at one of our clinics.

By using our website or booking any of our services, you're agreeing to the practices laid out below. We've aligned this policy with India's Digital Personal Data Protection Act, 2023 (DPDPA).

We collect a few different kinds of information, depending on how you're interacting with us.

• Identity & Contact — your full name, phone number, email address, and which clinic location you prefer.

• Booking Details — the treatment or service you're interested in, your preferred date and time, and the branch you've selected.

• Health Information— this covers your skin or hair condition, relevant medical history, and, where you've shared them during a consultation, photographs used for diagnosis or to track your progress over time. The DPDPA classifies this as sensitive personal data, so we only collect it with your knowledge and with your explicit consent where that's required.

• Payment Information — when you pay for a treatment, that transaction runs through our payment gateway partner. We don't store your card or UPI details on our end.

• Website & Device Data— this is collected automatically as you browse: pages viewed; an approximate location based on your IP address (city level, nothing more precise); browser type; and device information.

• Communication Records — any messages you've sent us through our site, WhatsApp, phone, or social media, along with our responses to them.

• Booking and confirming your appointment — Name, phone, email, clinic, service

• Sending reminders and updates over WhatsApp/SMS — Phone number, booking status

• Preparing your case ahead of consultation — Health information, contact details

• Following up and sharing aftercare instructions – health information, contact details

• Responding when you write in with a question — Name, contact details, message content

• Marketing communications (only if you've consented) — Name, email, phone, treatment interest

• Improving our website — Aggregated usage data, device data

• Meeting legal or regulatory requirements – Relevant data as required by law
  
  We don't sell your personal data. Full stop. We also don't pass on your health information to advertisers, data brokers, or anyone looking to use it for their own marketing. The only people with access are our clinical and admin staff directly involved in your care plus a small number of service providers — think booking systems and messaging tools — who need certain bits of data to actually do their jobs and nothing beyond that.

• Consultation & treatment records are kept for a minimum of 3 years from your last visit, in line with standard medical recordkeeping practice in India.

• Photographs (diagnosis/progress) are retained for the same period as treatment records to ensure continuity of your care.

• Enquiry or booking data (non-patients) is kept for up to 12 months for follow-up purposes and deleted sooner if you ask.

• Payment records are retained as required under applicable tax and accounting law for legal compliance.

• Website analytics are retained for the standard period set by the analytics tool provider to support site performance and improvement.
  
  Once any piece of data crosses its retention window and there's no legal reason left to hold onto it, we delete it or anonymise it so it can no longer be traced back to you.

Our website runs a small set of tools to understand how visitors use it and to measure whether our outreach is actually working.

• Google Analytics collects aggregated, non-identifying data – page views, time spent, and how people navigate the site – which helps us improve the overall experience.

• Meta Pixel (used across Facebook and Instagram) helps us understand whether our social promotions are reaching people genuinely interested in our treatments, rather than showing ads to people they mean nothing to.

• WhatsApp Business Tools come into play only if you reach out to us on WhatsApp first and simply help our team keep conversations organised on our side.

You're free to turn off cookies through your browser settings whenever you like. Doing so might mean the site stops remembering things like your preferred clinic or a half-filled booking form — but it won't stop you from browsing or getting in touch with us.

Under the DPDPA, and just as a matter of how we like to operate, you have the right to:

• Access — ask us for a summary of the personal data we hold about you.

• Correction — get anything inaccurate or outdated fixed.

• Erasure — request that we delete your data, aside from medical records we're legally required to retain for the period mentioned above.

• Withdraw Consent — opt out of marketing messages any time, without it affecting the care you receive from us.

• Grievance Redressal — Raise a concern with us directly if you feel your data hasn't been handled the way it should've been; if it's not resolved to your satisfaction, you're also entitled to approach the Data Protection Board of India under the DPDPA.
